LotLink LLC ("LotLink," "we," "us") is an Indiana limited liability company that operates lotlinkin.com and provides LotLink AI BDC, a software platform for independent auto dealerships that automates voice, SMS, and email customer communication. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.
This policy covers two audiences: dealership customers who subscribe to the LotLink platform, and consumers whose information flows through the platform because a subscribing dealership is communicating with them. Different sections apply to each.
1. Information We Collect
From dealership customers (subscribers)
- Account details — business name, owner/operator name, email, phone number, billing address, and authorized user accounts for the dealership.
- Configuration data — dealership operating hours, transfer numbers, AI prompt tuning, inventory feed URLs, and other operational settings.
- Billing information — payments are processed by Stripe; we do not store full payment card numbers on our systems.
From consumers (leads / customers of subscribing dealerships)
- Contact details — name, phone number, email address, and any preferences supplied when a consumer contacts a dealership using LotLink.
- Vehicle interest and conversation content — the vehicle being discussed, trade-in information, appointment requests, and the substance of voice, SMS, and email exchanges between the consumer and the dealership's AI agent.
- Call recordings and transcripts — telephone interactions handled by LotLink are recorded and transcribed for the dealership's records and for AI quality.
Information collected automatically
- Standard web server logs (IP address, browser type, pages viewed, referring site) via our hosting provider.
- Basic analytics data to understand how the marketing site and dealer dashboard are used.
2. How We Use Your Information
- Operate the LotLink AI BDC platform — deliver voice, SMS, and email communication on behalf of subscribing dealerships.
- Provide the dealer dashboard, lead inbox, analytics, and reporting features.
- Authenticate users and prevent unauthorized access.
- Bill subscribing dealerships and respond to support requests.
- Improve the platform — including tuning the AI's behavior and adding safety guardrails — using aggregated and de-identified usage patterns.
- Comply with legal obligations, including TCPA, CAN-SPAM, and carrier compliance for business text messaging (A2P 10DLC).
3. Sharing Your Information
We share information only as needed to operate the platform:
- Subscribing dealerships own the consumer data flowing through their LotLink account. Consumer information is shared only with the specific dealership the consumer is communicating with.
- Service providers that power the platform — including Twilio (telephony and SMS), Vapi (voice AI), Anthropic (large language model inference, configured with zero-retention so conversations are not used to train models), SendGrid (email), Stripe (billing), Railway (cloud hosting), and Netlify (marketing site hosting). These providers process data on our behalf under contractual confidentiality and security obligations.
- Legal and regulatory requests, when required by law or to protect the safety of users.
We do not sell personal information to anyone for any purpose.
Mobile information. Mobile phone numbers and related opt-in or text-message data collected by LotLink, or by subscribing dealerships using the LotLink platform, will not be shared, sold, or rented to third parties or affiliates for marketing or promotional purposes. Phone numbers are shared only with the dealership a consumer is communicating with and with the service providers (such as Twilio) that deliver the messages on the dealership's behalf.
3a. SMS Text Messaging
When a consumer submits a lead, contact form, or test-drive request to a dealership that uses LotLink — or otherwise initiates contact with such a dealership — the consumer may receive recurring text messages from the dealership (or from LotLink on the dealership's behalf) regarding that inquiry. Submission of an inquiry constitutes express written consent to receive these messages.
- Frequency: recurring conversational messages tied to the inquiry — typically 2–6 messages over 7 days, varying with the consumer's replies.
- Message and data rates may apply per the consumer's wireless carrier plan.
- To opt out, reply STOP to any message. The consumer will receive one final confirmation and no further messages.

4. Your Choices
- Opt out of dealer messaging — reply STOP to any text message, or contact the dealership directly to be removed from their lists.
- Dealership customers — cancel and export — subscribing dealerships can export their data from the dashboard at any time and cancel their subscription month-to-month with no early-termination fees.
- Access or delete your data — email john@lotlinkin.com and we will respond within a reasonable time. For consumer data routed through a subscribing dealership, we will coordinate with that dealership on the request.
- Cookies — you can configure your browser to block cookies; the marketing site will still function.
5. Data Security
We use commercially reasonable safeguards to protect information in our possession. Platform data is stored in encrypted-at-rest databases with daily snapshots, web forms and APIs submit over HTTPS, and dashboard access is authenticated with role-based controls. We use a zero-retention configuration with our AI model provider so conversation content is not used to train external models. However, no internet transmission is 100% secure, and we cannot guarantee absolute security.
6. Children
This site is intended for people 18 and older. We do not knowingly collect information from children under 13.
7. Changes
We may update this policy from time to time. The "Last updated" date at the top indicates when the most recent changes took effect.
